On-Site Support:
E & B staff offers the following on-site support:
- Creation and implementation of filing system for drivers and vehicles
- Periodic visits in supervisory capacity to ensure department is functioning as required
- Regularly scheduled visits to provide on-going support or assistance in filing, driver monitoring or general office duties
- On-site assistance with TDSM log auditing system
- On-site training of support staff
Log Auditing:
Monthly log auditing of drivers using TDSM system. Client is provided with individual driver reports as well as monthly management reports.
Driver monthly log audits include:
- a general covering letter to driver for signature which summarizes problems in an easy to understand format
- A Driver Violation report which outlines all violations, falsifications, form and manner issues that were found for the entire month.
- Copies of the problem logs identified on the Driver Violation Report which have problems identified in red for easy reference.
E & B also offers our log auditing clients the opportunity of having drivers attend our office for individualized remedial training. For a small fee, we will review audited logs and provide additional training as required for those drivers who are having ongoing log issues.
Fuel Tax Reporting:
E & B will monitor and prepare fuel tax reports for required jurisdictions.
Fleet Monitoring:
E & B can provide complete review of Level II CVOR Abstract for a period of 5 years. Report includes detailed analysis of historical on-road safety performance to identify trends within fleet performance and identify key areas of concern for training or disciplinary purposes. If requested, E & B can also provide monthly breakdown of point application in order to approximate overall violation rates.
Similar type of review can be undertaken with US Safe Stat report for a period of last 30 months.
Facility Audits:
On-site audits will be conducted in similar fashion to that of a Ministry facility audit. Audit will consist of review of driver logs, vehicle maintenance files, driver compliance files, safety and training files, violation files and collision files and all supporting documents. This will also include a review of current Level II CVOR Abstract, Safe Stat report and previous facility audit findings, if applicable. Report will include audit findings, analysis of the effectiveness of current company practices and procedures and recommendations for areas of improvement.
Representation during MTO Interventions/Sanctions:
E & B will assist clients throughout audit process and will act as company representative during audit by MTO or DOT.
E & B will also assist clients during MTO Interview or Show Cause Hearings. Further to a signed Retainer Agreement in which the client agrees to having E & B as long-term advisor, our role will include the following:
- Detailed review of operator’s past performance in facility audits or any other sanction/interview
- Review and analysis of 5 year on-road safety performance
- Preparation and implementation of action plan designed to address major areas of concern
- Ongoing monitoring of fleet performance to ensure compliance with Ministry imposed conditions.
